At HelloMyGYM, we value your privacy and are committed to giving you full control over your data. This policy outlines how you can request the permanent deletion of your account and all associated information, in accordance with Google Play Store User Data policies.

1. Types of Data Deleted

When you request account deletion, the following data is permanently removed from our active systems:

  • Owner Profile: Your name, email, mobile number, and login credentials.
  • Gym Records: All gym-specific details including name, address, settings, and branding.
  • Member Data: All member profiles, photos, and personal information stored in your gym account.
  • Financial Records: Transaction history, membership payments, and due records as entered in the app.
  • Staff Records: Attendance, salary history, and performance logs of your trainers and support staff.
  • Attendance Data: Daily check-in history for all members.

2. How to Request Deletion

You can initiate a deletion request through any of the following methods:

Method A: In-App Deletion (Recommended)

The fastest way to delete your data is directly through the HelloMyGYM Android app:

  1. Open the HelloMyGYM app and log in.
  2. Navigate to the "More" or "Profile" tab.
  3. Scroll down and click on "Delete Account".
  4. Confirm your request in the pop-up dialog.

Method B: Website/Email Request

If you cannot access the app, you can request deletion via email:

  • Send an email to: support@hellomygym.com
  • Subject: Data Deletion Request - [Your Gym Name]
  • Include your Registered Mobile Number used for the account.

3. Data Retention and Processing Time

Once a deletion request is made:

  • Immediate Action: Your account will be deactivated, and you will no longer have access to the service.
  • Verification: For email requests, we may call you on your registered mobile number to verify the request.
  • Final Deletion: All data will be permanently wiped from our production databases within **30 days**.
  • Backups: Residual data may remain in our secure encrypted backups for an additional 60 days before being completely overwritten.

4. Exceptions to Deletion

We may retain certain data only if required by Indian law or for specific legitimate purposes:

  • Financial Compliance: Subscription invoices and tax-related transaction summaries (as required for GST audit).
  • Legal Obligations: In response to valid legal requests from law enforcement agencies in India.

5. Requesting Deletion of Specific Data

HelloMyGYM provides users with the flexibility to request the deletion of specific types of data (e.g., specific member logs, old attendance records, or expense history) without having to delete their entire gym account. To request partial data deletion:

  • Self-Service: You can delete individual member records, attendance entries, or expenses directly from the app interface at any time.
  • Assisted Request: For bulk removal of specific data categories (e.g., "Delete all attendance records before 2024"), please email support@hellomygym.com.
  • Outcome: Requested data will be permanently removed from active databases, while keeping your account and other records intact.

6. Important Note

Data deletion is permanent and irreversible. Once the process is complete, you will lose all member records, payment history, and attendance data. We strongly recommend exporting your reports from the app before requesting deletion.
