HelloMyGYM ("we", "our", "us") is a gym management application designed for fitness centres and gym owners. This Privacy Policy explains how we collect, use, store and protect information when you use the HelloMyGYM mobile app or visit our website.

2. Information We Collect

We collect only the information required to provide and improve our services:

  • Account & Gym Information: Owner and staff name, mobile number, email address, gym name, address and basic profile details.
  • Member Information: Names, contact details, photos, membership plans, due/paid amounts and attendance history as entered by the gym.
  • Transaction Data: Amount paid, currency, payment status, date/time and transaction tokens/references. We do not collect or store credit card numbers, CVVs, or payment credentials directly.
  • Device & Log Data: Device model, operating system version, app version, IP address, crash logs and basic analytics to keep the app secure and reliable.
  • Communication Data: Messages you send to our support team and notification preferences.

3. How We Use Your Information

We use your information only for legitimate purposes, including:

  • Creating and managing owner, staff and member accounts
  • Managing memberships, payments, attendance and reports
  • Processing subscription payments and sending receipts
  • Sending reminders, alerts and important service messages
  • Monitoring usage to improve features and performance
  • Detecting and preventing fraud, abuse or security incidents
  • Complying with applicable laws and regulatory requirements

4. Payments & Google Play

HelloMyGYM utilizes Google Play Billing for processing premium subscription and in-app purchases:

  • When you make a payment, the transaction is processed securely via the Google Play Store client interface.
  • Payment details are collected and processed directly by Google on their secure infrastructure.
  • We do not collect or store card numbers, bank details, or passwords on our servers.
  • We only store transaction metadata (e.g. purchase token, product ID, order ID, payment status, amount) returned by the Google Play Developer API to active entitlements and for dispute resolution.

Your payments are handled in accordance with Google Play's own privacy policy and developer terms.

5. Data Sharing & Third Parties

We do not sell your personal data. We may share limited information only with trusted service providers who help us run HelloMyGYM, such as:

  • Google Play Billing services (to verify and process subscription payments)
  • Cloud hosting and storage providers (to securely store data)
  • Communication providers (for emails, SMS or WhatsApp updates where enabled)
  • Analytics and crash-reporting tools (using anonymised or pseudonymised data where possible)

All such third parties are bound by contractual obligations to protect your data and use it only for the agreed purpose.

6. Data Security & Storage

We take reasonable technical and organisational measures to protect your information, including encrypted communication over HTTPS, secure cloud infrastructure, access controls for staff and owners and regular security hardening of our backend.

Data is stored on secure cloud servers and retained only for as long as necessary for the purposes described or as required by law.

7. Data Retention

We retain your personal and gym data as long as your account is active. If your subscription expires and you stop using the app, we may retain your record for a period of up to 12 months to allow for easy reactivation. After this period, or upon your explicit request for deletion, we will either delete or anonymise your data, unless we are required by law to retain certain records for longer.

8. Account & Data Deletion

Google Play Store policies and our commitment to privacy ensure that you have full control over your data. You can request the deletion of your HelloMyGYM account and all associated data at any time:

  • In-App: You can request account deletion directly from the "Profile" or "Settings" section within the mobile application.
  • Online: You can also submit a deletion request via our website by sending an email to support@hellomygym.com with your registered mobile number and gym name.

Once a request is verified, we will initiate the process of permanently deleting your owner profile, gym records, member lists and attendance history from our active databases within 30 days. Please note that once deleted, this data cannot be recovered.

9. Your Rights & Choices

Depending on applicable law, you may have the right to access, correct or delete your personal data, restrict or object to certain processing, opt-out of non-essential communications and withdraw consent where processing is based on consent.

10. Children's Privacy

HelloMyGYM is intended to be used by gym owners and staff. We do not knowingly provide services directly to children. Member information for minors, if any, is managed by the respective gym and should be added only with appropriate consent from the child's parent or legal guardian.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements or new features. When we make material changes, we will update the "Last updated" date above and may provide additional notice in the app or via email.
