Refund & Cancellation Policy

1. Scope of This Policy

This Refund & Cancellation Policy applies only to subscription payments made by gym owners for using the HelloMyGYM software. It does not govern the membership fees charged by gyms to their own customers/members.

2. Pricing & Currency

All subscription charges for HelloMyGYM are generally billed in Indian Rupees (INR) and may be subject to applicable taxes as per the laws of India. Prices and available plans may change from time to time, and any change will be communicated in advance wherever required.

3. Payment Processing via Razorpay

We use Razorpay as our payment gateway to securely process online payments. When you make a payment, the transaction is processed by Razorpay and/or its banking partners in accordance with RBI and card-network regulations. We do not store your full card details, CVV, UPI PIN or net-banking passwords on our servers. We only receive the payment status, amount, date/time and a masked identifier to update your subscription.

4. Subscription Activation

Your HelloMyGYM subscription or renewal is considered active once your payment is successfully authorised and confirmed by Razorpay. Access to premium features will be granted or extended based on the plan and duration selected by you.

5. Refunds & 7-Day Money Back Guarantee

We want you to be confident in using HelloMyGYM. Therefore, we offer a 7-Day Money Back Guarantee for new subscription purchases:

  • If you are not satisfied with the service, you can request a full refund within 7 days of your initial payment.
  • Refund requests can be initiated directly through the "My Subscription" page in the HelloMyGYM app or by contacting our support team.
  • Once the 7-day window has passed, subscriptions are generally non-refundable as HelloMyGYM is a digital SaaS product and access is granted immediately upon payment.

We also consider refund requests in the following exceptional cases:

  • Duplicate payment for the same subscription period
  • Technical error resulting in a charge without corresponding subscription activation

If a refund is approved, it will be processed only to the original payment source (card, bank account, UPI, wallet etc.) through Razorpay. The time taken for the refund to reflect in your account typically varies between 5–10 working days as per banking norms.

6. Cancellations & Non-Renewal

HelloMyGYM subscriptions are generally not auto-renewed without your explicit action. You can simply choose not to renew once the current subscription period ends. Access to premium features will continue till the end of the paid period and will automatically stop afterwards unless you make a new payment.

If you wish to stop using the service earlier, you may discontinue at any time, but no partial-period refunds are provided except as described in the Refunds section above.

7. Chargebacks & Disputes

If you believe there has been an unauthorised or incorrect charge, please contact us first so we can help investigate and resolve the issue. Initiating a chargeback with your bank or card issuer without informing us may delay resolution. We reserve the right to suspend access to the service in case of repeated or fraudulent disputes.

8. Changes to This Policy

We may update this Refund & Cancellation Policy from time to time to reflect changes in our business, legal requirements or payment processes. Any material changes will be notified inside the app or via email where appropriate. Your continued use of HelloMyGYM after such changes constitutes acceptance of the updated policy.
