Refund & Cancellation Policy

1. Scope of This Policy

This Refund & Cancellation Policy applies only to subscription purchases made by gym owners for using the HelloMyGYM software through our secure website checkout. It does not govern the membership fees charged by gyms to their own customers/members.

2. Pricing & Currency

All HelloMyGYM subscription charges are billed in Indian Rupees (INR). Prices are inclusive of applicable taxes. Plans and pricing are configured on our secure servers and may change from time to time to reflect new promotions or plan structures, which will be communicated in advance wherever required.

3. Payment Processing via Razorpay

We use Razorpay as our secure external payment gateway to process all subscription purchases. When you subscribe, you are redirected to our secure checkout portal. All payment credentials (credit/debit cards, UPI details, wallets, bank accounts) are processed directly by Razorpay on their secure, PCI-DSS compliant infrastructure. HelloMyGYM does not store, collect, or have access to your sensitive payment details. We only receive secure verification tokens to activate your subscription tier.

4. Subscription Activation

Your HelloMyGYM subscription or renewal becomes active immediately upon successful completion of the external web transaction. Once Razorpay confirms the transaction, our backend server validates the payment status, invalidates the local gym cache, and provisions premium access immediately without needing an app restart. Subscription management is available inside the app under the My Subscription section.

5. Refunds & 7-Day Money Back Guarantee

We want you to be confident in using HelloMyGYM. Therefore, we offer a 7-Day Money Back Guarantee for all subscription purchases:

  • If you are not satisfied with the service, you can request a full refund within 7 days of your purchase.
  • Refund requests must be submitted directly to our support team at support@hellomygym.com or +91 75820 21281. Please provide your registered mobile number and transaction ID.
  • Once the 7-day window has passed, subscriptions are generally non-refundable as HelloMyGYM is a digital SaaS product and access is granted immediately upon purchase.

We also consider refund requests in the following exceptional cases:

  • Duplicate payment for the same subscription period
  • Technical error resulting in a charge without corresponding subscription activation

If a refund is approved, it will be processed directly back to the original payment source. The time taken for the refund to reflect in your account varies based on Razorpay's processing timelines and your bank's policies.

6. Cancellations & Non-Renewal

Subscriptions purchased through our external checkout do not auto-renew unless you explicitly opt-in or authorize recurring payments. You can cancel your active subscription at any time by contacting support. Once cancelled, your premium benefits will remain active until the end of your current paid billing cycle, and no partial or pro-rated refunds will be provided for the remaining days of that cycle.

7. Chargebacks & Disputes

If you believe there has been an unauthorised or incorrect charge, please contact us first so we can help investigate and resolve the issue. We will work with Razorpay to investigate the transaction. We reserve the right to suspend access to the service in case of repeated or fraudulent disputes.

8. Changes to This Policy

We may update this Refund & Cancellation Policy from time to time to reflect changes in our business, legal requirements or payment processes. Any material changes will be notified inside the app or via email where appropriate. Your continued use of HelloMyGYM after such changes constitutes acceptance of the updated policy.
